Why Users Receive Notifications for Unowned Processing Activities

Why do users receive notifications for a processing activity they do not own?

If a processing activity has no assigned responsible person, responsibility is passed to the business area. Users connected to that business area may then receive the related task notifications.

What causes this notification behavior?

When a processing activity does not have a responsible person assigned, the system transfers responsibility to the business area linked to that activity.

For example:

  • If the activity is linked to more than one business area, notifications can follow that path
  • If a user belongs to one of those business areas, the user can receive the task notification
How does the admin role affect these notifications?

Task notes for items without a responsible person are still tied to the admin role. If a user has the role Full access - Administrator, they will receive notifications for tasks that do not have an assigned responsible person.

How can the notifications be stopped?

There are two ways to stop these emails:

  1. Assign a responsible person to the processing activity
  2. Change the user’s role so they no longer have Full access - Administrator, or use an admin role that does not have this notification note attached
