Notifications in Tasks
Who receives notifications, when they are sent, and how to manage your preferences.
This article explains who receives notifications in tasks, when they are sent, and how to manage your preferences.
How notifications are delivered
All notifications are sent both by email and as in-app notifications. You will not receive a notification for changes you make yourself.
When you receive notifications
Being assigned to a task
When you are added as an assigned user on a task, you will receive a notification straight away.
Deadline reminders
You can configure how many days before a deadline a reminder is sent. This is set on the activity (template) level. When the reminder triggers, both the responsible person and all assigned users receive a notification.
Every Monday, you will also receive an email listing all tasks that are approaching their deadline or have already passed it. This digest is sent to the responsible person and all assigned users.
Mentions in comments
If someone mentions you in a comment using @, you will receive a notification.
Comment subscriptions
On each task, you can choose to subscribe to new comments by selecting "Notify me on new comments". When enabled, you will receive an email each time a new comment is added to that task.
Approval settings
On each activity, you can choose how task completion and approval works. There are three options:
- Anyone can complete the task — no approval notification is sent.
- Anyone can complete the task, but the responsible person is notified — the responsible person receives a notification when the task is marked as complete.
- Only the responsible person can complete the task.
What does not trigger notifications
You will not receive notifications for changes to master data, adding or updating subtasks, or other general edits to the task.
